Privacy policy

Benoit de Mulder is the person responsible for the protection of personal information. He receives requests to access or correct information, withdrawals of consent, questions and privacy complaints.

The expression-of-interest form collects information directly from you:

• Required: first and last name, email address, country and level of interest in the books.
• Optional: potential number of copies, comments and consent to receive project updates.
• Administrative: preferred site language and the dates when the record is created or updated.

If you contact the privacy officer, the information contained in your message is also collected. The hosting and security providers may process limited technical data, such as an IP address, browser information, date and time, to deliver and secure the website.

• Estimate demand, the potential print run and interest in individual volumes or the complete series.
• Plan production, printing and publication of the Canadian Dakotas series.
• Send publication, pricing and ordering updates only if you separately opt in.
• Respond to questions, rights requests and complaints, and protect the website against misuse.

Registering interest is not an order or preorder. No payment information is collected.

The information marked as required is necessary to record a meaningful expression of interest. You may choose not to submit the form. Consent to email updates is optional, separate and unchecked by default. You may withdraw it at any time by contacting the privacy officer or by using the unsubscribe page.

Canadian Dakotas does not add advertising or analytics cookies and does not use the submitted information for profiling or exclusively automated decisions. The hosting service may use cookies or similar technologies that are strictly necessary for access, security and operation.

Access is limited to Benoit de Mulder and, only when necessary to provide or secure the website, authorized technology service providers. The website and database are operated using OpenAI Sites and its infrastructure providers, including Cloudflare. These providers act for hosting, storage, security and technical support.

Personal information may therefore be processed or stored outside Québec, where different privacy laws may apply. Reasonable contractual, administrative and technical safeguards are required before such access or transfer. Information is not sold or rented. It may be disclosed if required by law or necessary to protect legal rights and security.

Expression-of-interest records are retained while they are needed to plan and publish the seven-volume series, which is expected to extend over 8 to 10 years, and are destroyed or irreversibly anonymized no later than 12 months after publication of the final volume. A record is deleted earlier when a valid deletion request is accepted and no legal reason requires its retention.

Privacy correspondence and records needed to demonstrate consent, withdrawal or the handling of a request may be retained for the period reasonably necessary to meet legal obligations. Deletion from backup systems follows the provider’s normal secure rotation schedule.

Safeguards appropriate to the limited nature of the information include encrypted transmission, restricted administrative access, service-provider security controls, collection limited to what is needed and procedures for incidents, requests and deletion. No method of transmission or storage is completely risk-free.

Benoit de Mulder oversees the complete information life cycle, approves privacy practices, reviews access needs and handles complaints. A confidentiality incident is assessed and documented; the Commission d’accès à l’information and affected persons are notified when the law requires it.

Subject to applicable law, you may request access to or correction of your personal information, withdraw consent to a use or disclosure, request deletion when appropriate, or obtain computerized information collected from you in a structured and commonly used technological format.

Send a request or complaint to the privacy officer using the email address above. Identify yourself, describe the request or concern and provide enough detail to locate the relevant record. Identity may be verified before information is released. Access and correction requests are answered within the time required by law.

The expression-of-interest form is not intended for children under 14, and Canadian Dakotas does not knowingly collect their personal information without consent from a parent or guardian.

This policy is reviewed when practices or legal requirements change. The updated version and its effective date will be posted on this page. A notice will be provided when a change materially affects how personal information is used or disclosed.
